Spot Counting Via WDC

Spot Counting allows users to perform a quick physical stock count directly from the WDC device for a selected warehouse and counting date, without first creating a full stock counting journal for every product.

1. Overview

The Spot Counting option is used when the store or warehouse team wants to count specific products on the floor using barcode scanning. Instead of counting the complete inventory at once, users can count selected items and update the physical count immediately in WDC.

When this option is used:

The user selects a Warehouse and a Counting Date.
The user scans the Product Barcode using WDC.
The system identifies the product and, where applicable, asks for Lot or Serial details.
The counted quantity is saved against the selected warehouse location.
The user can review all counted records in the Summary screen.

Note: Use Spot Counting when a quick physical verification is required for selected products, racks, or bins, instead of performing a complete warehouse stock count.

2. Step-by-Step Process

Step 1: Open WDC and Select Spot Counting

Go to WDC → Operations and tap on Spot Counting.

Step 2: Select Warehouse and Counting Date

On the Spot Counting screen, select the following details:

Warehouse – The warehouse/store where the counting will be performed.
Counting Date – The date on which the physical stock count is being recorded.

After entering the required details, click on Proceed.

Step 3: Review the Counting Screen

Once proceeded, the system opens the scanning screen and shows the selected:

Warehouse Name
Default Stock Location
Counting Date
Set Quantity field for the next scan

The user can increase, decrease, or manually edit the count quantity before scanning the product.

Step 4: Set the Count Quantity

Before scanning the product, set the required quantity using one of the following methods:

Tap the + button to increase the quantity.
Tap the - button to decrease the quantity.
Tap the Edit icon and enter the exact counted quantity manually.

Important: The quantity set here will be applied to the next scanned product.

Step 5: Scan the Product Barcode

Scan the product using:

Handheld Barcode Scanner
Device Camera
Manual Search if barcode is not available

The system validates the scanned product and prepares the count entry.

Step 6: Handle Lot or Serial Controlled Products

If the scanned product is configured with Lot or Serial Number Tracking, the system will ask the user to select or enter the required tracking information.

For Lot Tracked Products, select the lot from the available list.
For Serial Tracked Products, enter or scan the serial number.
If allowed, the user may also create a new Lot from WDC.

Step 7: System Updates the Count

After the product is scanned successfully, the system creates or updates the count record and shows the result on screen, such as:

Product Name
Lot / Serial if applicable
On Hand Quantity
Counted Quantity
Difference Quantity
Unit of Measure

This gives the user an immediate view of whether the counted stock matches the current on-hand stock.

Step 8: Open Summary Screen

Click on the Summary button to review all products counted during the session.

The summary shows:

Product
Lot if applicable
On Hand
Counted Quantity
Difference
Counted By
Counting Date

3. System Behaviour (What Happens Next)

Once a product is counted:

The system checks whether a count record already exists for the same Product + Location + Lot.
If found, the system updates the existing count.
If not found, the system creates a new count record.
The count is saved against the selected warehouse and counting date.
The count can later be reviewed, corrected, or cleared if required.

Tip: Spot Counting is very useful for cycle counts, bin verification, random physical checks, and fast recounts after stock discrepancies are noticed.

4. Important Notes

Only users with access to the selected Warehouse can perform the count.
If a product was already counted by another user or on another date, the system may block duplicate counting.
Only storable products can be counted in this process.
For tracked products, Lot or Serial details must be entered correctly.
The counting result should always be reviewed from the Summary screen before completing the task.
